PRIMARY PURPOSE:
Proactively manage all daily activities for the President of The Christ Hospital Foundation and the Board of Directors for The Christ Hospital Foundation. Daily interaction with other executives, assistants, internal and external customers and major donors. Coordinate and handle documentation of a confidential and sensitive nature. Maintain smooth flow of paperwork, appropriately handle internal and external electronic and hard copy correspondence. Coordinate business meetings, conference call and other arrangements. Coordinate banquets and/or events. Tasks require judgment and discretion at all times.

Duties and Responsibilities

Schedule Management:
- Prepare president for maximum effectiveness and efficiency; assist in keeping the president, on time, on task and prepared.
- Schedule and reconfirm appointments, arrange and coordinate attendees, prepare appropriate materials—all at least one day in advance.
- Anticipate and resolve calendar conflicts.
- Screen requested meetings for importance and prioritize based on agreed-upon priorities.
- Anticipate the president’s work needs and prepare accordingly.

Technical/Clerical
- Keep Outlook Calendar and Contacts up-to-date at all times.
- Prepare creative PowerPoint presentations based on a provided amount of content layout
- Create, format and maintain complex Excel worksheets including graphs, charts and pivot tables.
- Distribute and file correspondence, reports, financial statements and contracts.

Relationship Management
- Be an extension of the president with respect to professionalism and responsiveness in dealing with other staff, physicians, board members and donors.
- Communicate and interact using superior customer service skills.
- Support The Christ Hospital Foundation Board in all facets of their administrative needs.

Meeting Management
- Prepare and type agendas, reports and correspondence to internal as well as external audiences such as board members, donors and other VIPs.
- Prepare all materials for Board meetings

Coordinate the Gift Fund Access process
- Requires financial acumen, diplomacy skills, project coordination abilities
|
|
Provide a moderate level of administrative support to the Major Gifts team: photocopying, filing, word processing and Excel spreadsheets.
|
EDUCATION: Associate Degree preferred
YEARS OF EXPERIENCE: At least seven years experience in administrative assistance with two years successfully supporting an executive-level administrator. Experience in a large corporate environment is an advantage.
REQUIRED SKILLS AND KNOWLEDGE: Advanced level skills required in Microsoft Office products and Outlook. Demonstrated advanced-level skills required for time management, organization, multi-tasking, computer, proof reading and math. Excellent attention to detail. Familiarity with BoardNet
